Zip OS, ElevatorZip’s full system for elevator contractors, connects to QuickBooks Online in one click. It pulls in everything in your QuickBooks, maps it to your Zip records, and keeps the two in sync. Invoices go out. Payments come back. Nobody types anything twice.

How does it work?
- Connect. Open Settings › QuickBooks and press Connect to QuickBooks. Sign in with your Intuit account and approve.
- Zip OS pulls everything in. Your customers, vendors, products, invoices, payments, and the rest of your QuickBooks come into Zip OS on their own.
- It maps to your Zip records. What’s already in QuickBooks lines up with what’s in Zip, and exact matches link themselves. You decide what Zip OS uses.
- It stays in sync. Zip OS keeps reading QuickBooks as things change, so it’s always up to date.
That’s the whole setup. You do it once.
What it does every day
- Invoices go to QuickBooks. Review the day’s or the month’s invoices on one screen and send them all with one button. QuickBooks emails them to your customers.
- Payments come back on their own. When a customer pays in QuickBooks, the invoice is marked paid in Zip OS.
- Purchase orders go too. Every PO lands in QuickBooks with the same number your supplier got.
- Posts to the right GL accounts. Every invoice and purchase order lands on the income and expense accounts you already use in QuickBooks, so your general ledger stays clean.
- One invoice number everywhere. The same number in Zip OS, in QuickBooks, and on your customer’s copy.
- Sales tax handled by QuickBooks. It works out the tax from the building’s address.
- Ask Zip knows your books. Ask a question in Ask Zip, or in Claude or ChatGPT through Zip MCP, and get answers from Zip OS and QuickBooks together.
Built for how elevator companies run
Elevator companies live in two places: the field and the books. Zip OS runs the field side, from sales and contracts to dispatch, time tickets, and jobs. QuickBooks stays your books. With the two connected, every job, contract, and invoice flows straight through, and the office stops copying numbers from one screen to the other.
Is it safe for my books?
| The question | How Zip OS handles it |
|---|---|
| Who can connect QuickBooks? | Only an admin on your team. |
| Can Zip OS change my books on its own? | No. Zip OS reads from QuickBooks automatically, but nothing goes into QuickBooks until someone presses a button. |
| Can it make a duplicate invoice? | No. Sending the same invoice again never makes a second one. |
| Will it change a paid invoice? | No. Once an invoice is paid in QuickBooks, Zip OS leaves it alone. |
| What if I disconnect? | Nothing is deleted in either system. Syncing stops until you connect again. |
