Privacy Policy: Zip OS
What Zip OS collects, why, who helps us run it, and the choices you have.

ElevatorZip LLC ("ElevatorZip", "we") makes Zip OS (formerly Zip Survey), a work app for elevator mechanics and office staff. This policy explains what Zip OS collects, why, who helps us run it, and the choices you have. You need an account from your employer to use Zip OS.
1. Information We Collect
Account information
- Your phone number, used to sign you in with a one-time code sent by text. We do not create or store passwords.
- Your name, role, and the company you work for, as set up by your company's administrator.
Work you enter
- Work tickets: travel, arrival, work, and break times; notes on the work performed; parts used; whether a car is out of service and why; and recommendations for repairs.
- Photos you take or choose from your library.
- Customer signatures collected on a ticket.
- People you add, such as an on-site contact's name and phone number.
- Appointments you book.
Photos read by AI
- When you ask Zip OS to read a part tag or fill in a survey from photos, those photos are sent to our servers and to a third-party AI service that reads them (see section 4). This happens only after you allow it in the app, and only when you start a read.
Voice
- When you talk instead of type, your speech is turned into text on your phone when your phone supports it. If it does not, Apple's speech recognition service may process it, as Apple's own permission prompt explains. We do not record, store, or receive your audio. Only the resulting text is saved, and only if you keep it.
Location
- Only while the app is open, and only when you search for a building or an address. Your approximate position is sent to Google to show nearby results first. We do not store your location or track you in the background.
Device and app information
- Device model, operating system and app version, an install identifier, and a push notification token, so we can send you notifications and keep your saved work in sync.
- Crash reports and error details, so we can fix problems.
Files saved on your phone
- Files your office shares with you (prints, manuals) are downloaded to your phone only when you choose to save them. They stay on your phone, are not included in your iCloud backup, and are removed when you sign out or tap Remove all saved files.
2. How We Use Information
- To sign you in and keep your account secure.
- To run the app: show your jobs, route, and records; save and send your tickets, photos, and time; and send you notifications about calls and messages from your office.
- To read part numbers and survey details from photos when you ask.
- To provide support, fix problems, and keep the service reliable.
We do not sell your information, use it for advertising, or track you across other companies' apps or websites.
3. Who Can See Your Information
What you enter is visible to authorized people at your company, based on the roles your administrator sets. It is not published to public web pages.
4. Service Providers
We share only what each provider needs to do its job for us. They may not use it for their own purposes.
- Supabase: database, sign-in, and file storage.
- Vercel: hosting for our servers.
- Twilio: text messages for sign-in codes and dispatch alerts.
- Expo, Apple, and Google: delivering push notifications.
- Google Maps and Places: address and building search. Google's Privacy Policy also applies.
- Algolia and SerpApi: parts catalog and parts web search. Only your search words are sent.
- Anthropic: reads part numbers and survey details from photos you choose, after you allow it. Under its commercial terms, Anthropic does not use this data to train its models.
- Sentry: crash and error reports.
- Postmark: email, such as account deletion requests sent to our support team.
5. How Long We Keep Information
- Work records (tickets, photos, signatures, time, notes) are your company's business records. We keep them for as long as your company uses ElevatorZip, or as your company directs.
- Sign-in codes expire within minutes.
- Crash reports are kept for up to 90 days.
- When your account is deleted, you can no longer sign in, and your phone number and notification tokens are removed. Work records you created stay with your company, because they belong to its customers' service history.
6. Your Choices and Rights
- You can turn off location, camera, microphone, photo, and notification access at any time in your phone's Settings. The app still works without them.
- You can decline AI photo reading and type part numbers instead.
- Request account deletion: in the app, tap your initials, then Request account deletion. We complete deletion with your company's administrator within 7 business days.
- Depending on where you live, you may have the right to access, correct, or delete your information. Email info@elevatorzip.com.
7. Security
We use encryption in transit, access controls, and other reasonable safeguards. No system is completely secure. Please keep your phone locked and tell your administrator and us right away if you think someone used your account.
8. Children
Zip OS is not intended for anyone under 16. If we learn we collected information from someone under 16, we will delete it.
9. Changes to This Policy
We will post updates here and in the app. If you keep using Zip OS after an update, the updated policy applies.
